Payroll Outsource and Digitization at a Higher Level: Transforming from Paper Based Payslips to E-payslip

MELECS is a key player in the electronics sector. Its activities spanning the entire value chain range from research and development to certification, production and logistics. Beside the Austrian sites in Siegendof (EWS electronic factory) and in Vienna (electronic research and development subsidiery), MELECS has factories in Hungary (EWG electronic factory in Győr), in China (EWW electronic factory in Wuxi) and in Mexico (EWQ electronic factory in Querétaro) and they are running a sales and development office in the USA.

The Hungarian Branch of MELECS EWS GmbH  has been working with NEXON for 10 years now, which provides payroll administration tasks as an external service provider. The main purpose for this year was to migrate from paper based payslip to e-payslip. We asked Gabriella Kiss, HR Manager about her experiences.

 

MELECS has been a partner of NEXON since 2010. Why did you decide on an outsourcing service instead of doing your own payroll?

The satisfaction of our employees is one of the most important strategic issues at our company. One such factor in this area is the accurate and timely payment of wage and benefit elements. NEXON can meet our expectations, and in addition provides us with high-quality professional competence, financial responsibility, legal compliance and confidentiality. In addition to the planability of costs, it saves time and money for the HR department.

 

What expectations do local management and the international parent company have of a payroll service provider?

Legal compliance is a key factor, and our center expects up-to-date knowledge of legislation and requirements in a constantly changing environment. The constant flow of information, the high level service, flexibility, meeting the deadlines are the basic expectations of a service provider.



What are your experiences? What is the cooperation with NEXON's office in Győr like?


We worked with NEXON not only at MELECS, but also at my previous employer. We were satisfied even then, ehich is why we chose them again. In addition to personal relationships, we also always look for each other with professional problems, helping each other to the end of things in case of a question.



According to your experience, how well can the data received from NEXON meet the requirements of the parent company?

The various HR modules ensure the collection, retrieval and analysis of data in many ways. During HR controlling, we work with the numbers provided by NEXON, as well as during our reporting obligations related to statistics or taxation.


To what extent does the use of e-payroll make HR's life easier?


Digitization is an essential step not only in production, but also in the HR field for safe and efficient business operations.

The introduction of the e-payslip is one of these elements, which allows us to work more comfortably. We don't have to spend time on handing out, and it also supports working from home.

 

What lessons did the introduction of the e-payslip provide?


Our main consern at the implementation was, what would happen to people, who didn't have email. Fortunately, 99% of our employees have email, so we were able to implement this change quickly and easily. 
The server's interface is simple, easy to understand, secure, the payroll of each month is available electronically in one place, so any data can be easily retrieved. Ultimately, in addition to HR benefits, its application also increased employee satisfaction.

 

Are further expansions planned in terms of software support for timekeeping and HR tasks/processes?

Yes, we would like to implement the cloud based (SaaS) NEXONtime workinghour registration system in the near future. By applying NEXON4, HR's administrative work would be transformed into a business support type of activity. 
Its advantages would therefore appear not only in the HR, but in all areas of the company. User roles would be expanded, thus making planning and analyzes more efficient, supporting decisions.
